Overview

The Senior Benefits Administrator plays a critical role in the successful implementation and ongoing management of TEC’s benefits, leave, and Workers’ Compensation programs. The role focuses on operational excellence, employee support, and process optimization while working in close coordination with the Director of HR Operations to ensure alignment with program goals, compliance standards, and organizational objectives. The Senior Benefits Administrator also contributes insights to process enhancements and serves as a key resource to educate employees and managers on benefit-related topics.

Responsibilities

  • Oversee day-to-day administration of benefit plans across the company. This includes timely invoice payments/generation and reconciliation, arrears reporting, newly eligible employee enrollment, HCM system maintenance, auto file feed audits, terminations, state or city specific reporting, state specific or disability verification requests, medical support orders, etc. Provide recommendations for improvements to Director of HR Operations.
  • In partnership with LOA vendor, oversee all leave of absence programs and processes (FMLA, state leave, personal leave, etc.). Track and collect unpaid benefits premiums during leave. Maintain appropriate communication with employees and managers on leave status and return to work process and requirements. Ensure managers understand intermittent leave requirements.
  • Partner with management and HR Business Partners on complex employee leave issues. Coordinate pay while on leave information with Payroll on a bi-weekly basis. Handle routine and moderately complex cases; escalate nuanced or high-impact scenarios for guidance as appropriate.
  • Oversee day to day Workers’ Comp claims process, including data entry and follow up, responding to adjuster(s) and employees, entering data into OSHA 300 log and Gallagher Bassett systems, responding to LNI requests, coordinating with Concentra, etc. Monitor trends and share relevant insights with the Compensation & Benefits Manager.
  • Act as the first point of contact for employee inquiries about TEC’s benefit plans. research and resolve issues independently or in partnership with broker/vendors, while appropriately escalating more sensitive or complex issues
  • Create and maintain benefits-related dashboards and reporting (leave tracking, number of work injuries, ad-hoc requests). Gather requirements for reports and create in Paylocity.
  • Recommend and implement improvements to day-to-day benefit processes and workflow. Create or update documentation and resources to support consistency and compliance. Deliver training and guidance to managers and employees on established programs and procedures.
  • Provide operational support for annual open enrollment, compliance audits, and internal HR initiatives. Assist in preparing data or materials for vendor communications, testing, or plan changes as needed. Maintain alignment with broader HR goals by working collaboratively with all HR team members.

Qualifications

  • High school diploma or equivalent required
    HR certification preferred
  • 5 years of previous experience in health benefits, leave of absence, and 401(k) administration in a multi-state organization, experience working with a large hourly population helpful
  • Demonstrated knowledge of various types of group health plans and programs, 401(k), Workers’ Comp, and leave of absences
  • Expert-level in Excel
  • Excellent communication skills, including knowing when to appropriately escalate sensitive issues.
  • Excellent interpersonal skills: ability to build positive relationships in person and through phone/electronic communication with all levels of employees, management, and vendors
  • Excellent detail orientation, organization, and prioritization skills
  • Ability to pull reports from HCM systems and apply intermediate MS Excel skills (vlookup, hlookup, concatenate, merge, formulas, etc.)
  • Ability to recognize patterns in data to identify problems, trends, root causes, and recommend solutions.
  • Ability to act with a sense of urgency and effectively prioritize tasks
  • Ability to maintain a high level of ethics and discretion and to keep information highly confidential
